The YMS RFP template nobody publishes.
47 evaluation questions across the seven areas that actually decide whether a yard management system works: gate, visibility, tasks, appointments, integrations, security, and commercial terms. Copy it, print it, send it to every vendor — including us.
A yard management RFP should force written answers on seven things: gate speed, yard visibility, task management, appointments, integrations, security and compliance, and all-in cost. Demos hide weasel words that written answers expose. The 47 questions below are the ones vendors would rather you did not ask in writing.
1. Gate operations
The gate is where YMS projects live or die — if check-in is slower than the clipboard, drivers and guards revolt.
| Question | Why it matters |
|---|---|
| What is the average driver check-in time, measured at a reference customer? | Under 2 minutes or adoption fails |
| Can trailer/container numbers be captured by camera (OCR)? What is the field-measured accuracy? | Ask for measured, not lab, numbers |
| How are driver licenses captured — manual typing or barcode scan? | PDF417 scan removes the slowest step |
| Does gate check-in work when internet is down? What happens to queued events? | Yards have dead zones; offline queue is table stakes |
| What hardware does the gate require (kiosks, cameras, RFID portals)? Total cost per lane? | Hardware = cost, install time, failure points |
| Can a seal number be recorded and verified against the outbound record? | Seal continuity is a C-TPAT audit item |
| Can gate staff complete a full IN and OUT on a phone with gloves on? | Field usability beats feature lists |
2. Yard visibility
| Question | Why it matters |
|---|---|
| How does the system know where a trailer is — GPS hardware, driver confirmation, or manual entry? | Each has a cost/accuracy trade-off; make the vendor say it |
| How long does it take a new user to find a specific trailer? | The core daily question: "where is 53281?" |
| Is there a live yard map or slot view? Does it work on mobile? | Supervisors live on their phones |
| How is dwell time tracked and where does it surface (alerts, reports)? | Dwell is the money metric |
| Can I see historical dwell/detention per carrier and per door? | This is your negotiation ammunition |
| What happens when a trailer is moved without telling the system? | Reality drifts; ask how the system self-corrects |
3. Task & move management
| Question | Why it matters |
|---|---|
| How are yard moves requested, assigned, and confirmed? | The request→done loop is the workflow core |
| Can dock and warehouse staff request moves without a license for the full system? | Per-seat pricing can kill adoption here |
| Is there double-assignment protection when two drivers grab the same move? | Race conditions cause real yard collisions |
| How are hostler/spotter drivers notified — dedicated device, phone, or radio? | Extra devices = extra cost and training |
| Can moves be prioritized (hot loads, live unloads)? | Not all moves are equal |
4. Appointments & carriers
| Question | Why it matters |
|---|---|
| Is there a carrier-facing scheduling portal? Does it cost extra per carrier? | Some vendors charge carriers, which kills adoption |
| How are no-shows and late arrivals tracked and reported? | You cannot fix what you do not measure |
| Can appointment data flow into gate check-in automatically? | Re-typing appointment data at the gate wastes the whole point |
| Does the carrier see detention/dwell data for their own trailers? | Transparency reduces detention disputes |
5. Integrations
| Question | Why it matters |
|---|---|
| Which WMS/TMS systems have live, referenceable integrations today? | "We have an API" is not an integration |
| Is there a documented public API? At what plan tier? | API behind enterprise pricing = lock-in |
| Can EDI 204/214/322 events be consumed or emitted? | Matters if your customers demand EDI visibility |
| What does a typical WMS integration cost and how long does it take? | Integration fees often exceed year-one software cost |
| Can data be exported (CSV/API) without vendor involvement? | Your data should be yours |
6. Security & compliance
| Question | Why it matters |
|---|---|
| Does the system support C-TPAT 7-point inspections with photo evidence? | Digital inspection replaces paper binders |
| Are inspection records hashed/timestamped for audit support? | Ask exactly what "tamper-evident" means — many claims overreach |
| Is access role-based (gate vs driver vs manager vs carrier)? | Carriers must never see other carriers' data |
| Where is data hosted and what is the retention policy for driver PII (licenses)? | Driver license photos are regulated PII |
| Is there an audit log of who changed what, when? | Required for security incidents and claims |
7. Commercial terms
| Question | Why it matters |
|---|---|
| All-in first-year cost for one site: software + hardware + implementation + training? | The only number that lets you compare vendors |
| Is pricing per site, per user, per door, or per transaction? | Per-user pricing punishes adoption |
| Is there a free trial or paid pilot? On my real yard, not a demo environment? | A vendor confident in adoption will let you try it |
| Contract length and what happens to my data at termination? | Avoid 3-year lock-ins before proving value |
| Reference customer of my size I can email (not a sales-arranged call)? | Async written references are harder to stage-manage |
| Go-live timeline commitment, with penalty or exit if missed? | 3–9 month installs are common; get it in writing |
| What was your last price increase and what is contractually capped? | SaaS repricing risk is real |
How to use this
Send the same 47 questions to every vendor in writing and require written answers. Written answers surface the weasel words ("roadmap", "typically", "partner-provided") that demos hide. Weight the sections by your pain: if your yard is a detention battleground, sections 2 and 4 dominate; if you are C-TPAT audited, section 6 is non-negotiable.
Full disclosure: Vantage is a YMS vendor. This template includes the questions that favor hardware-heavy competitors too (GPS portals, RFID) — because an RFP that only contains questions we win would be worthless to you, and you would notice.
Frequently asked
What should a YMS RFP include?
The seven areas above: gate, visibility, tasks, appointments, integrations, security, commercial. Most RFPs over-index on feature checklists and under-index on measured speed (check-in time, trailer-find time) and all-in cost.
How much does a YMS cost?
Enterprise deployments: $30K–$100K+ per site per year all-in. Mobile-first products: $149–$649 per site per month with no hardware. See our full pricing guide with real numbers.
How long does implementation take?
Hardware systems: 3–9 months per site. Smartphone-based systems: days. Ask for a reference customer's actual timeline.
