Running your yard on a spreadsheet.
What the spreadsheet genuinely gets right, the four places it gives out at the gate, and how to tell which side of that line you are standing on.

Short answer: the spreadsheet is a real first step and it beats a whiteboard outright: it is free, you already know it, and it opens anywhere. It breaks at the gate itself. In rain, with gloves on, a phone cannot type into a cell, two people cannot edit at once, times are not stamped automatically, and photos do not fit.
What the spreadsheet actually gets right
Start with the part nobody says out loud: a yard running on a spreadsheet is already ahead of most yards. It has a history. It can be sorted. It survives the shift change and the person who quit. A whiteboard has none of that, because a whiteboard is erased every morning and the only copy of last Tuesday lives in somebody's memory. Moving from a board to a sheet is the single biggest jump in yard record keeping most operations ever make.
The rest holds up too. It costs nothing you are not already paying, since it ships with Microsoft 365 or is free in Google Sheets. Everyone on the shift already knows it, so training time is zero. It is endlessly flexible: your yard has a column no software vendor anticipated, and in a spreadsheet you add it in four seconds without filing a feature request. It opens on any machine, in any office, forever, with no login to a vendor who might raise the price. Those are real advantages and no yard software matches them.
So the question is not whether spreadsheets are good. It is narrower than that: which parts of the job does the spreadsheet still do, and which parts has the gate quietly taken back?
Where it breaks, and it is always at the gate
The office half of a spreadsheet yard log tends to keep working for years. Sorting, filtering, a pivot table for the weekly report: all fine. What gives out is the twenty seconds at the gate when the record is supposed to be created. Four scenes, in the order most yards hit them.
Scene one
It is raining and the phone will not take the entry
A driver is at the gate at 6:40 in the morning. The clerk has one glove off, a wet screen, and a spreadsheet app trying to render a 14-column sheet on a 6-inch phone. Getting to the right cell means pinch, scroll, pinch again, tap, and the keyboard covers the row you were aiming at. In direct sun you cannot read which cell is selected at all. So the entry goes on paper, or on the back of a bill of lading, or into somebody's head, and it reaches the spreadsheet at the end of the shift. From that moment the spreadsheet is no longer a gate log. It is a transcription of a gate log, which is a different and much weaker thing.
Scene two
Two people need the file at the same time
The gate clerk has the file open. The yard driver needs to mark a trailer moved to door 12. Excel on a shared drive answers with a read-only prompt and an offer to notify you when the file is available, so the driver takes the copy. Now there are two truths. Whoever saves last wins, and the other person's twenty minutes of entries are gone with no error message and no way to know they were lost.
Then the file names start. You have seen this progression: yard_log.xlsx, then yard_log_v2.xlsx, then yard_log_final.xlsx, then yard_log_final_v2_USE_THIS.xlsx, and eventually somebody emails a copy to a manager who edits it and sends it back. Nobody decided to do this. It is what a single-writer tool does under a multi-person job.
The honest exception: Google Sheets solves this one. Real-time co-editing is genuinely good, and if concurrency is your only problem, switch to Sheets before you buy anything. It does not fix the other three scenes.
Scene three
Every time on the sheet was typed by a human
A person typing a time does three things without meaning to. They round, because 7:52 becomes 7:50 or 8:00. They typo, because 14:20 and 4:20 are one keystroke apart. And they backfill, because the 6:40 arrival gets entered at 3:00 in the afternoon from memory or a paper note.
Individually those are small. Set them against the clock they are being measured with. Free time before detention starts is commonly two hours (DOT OIG report ST2018019), and average dwell runs about 3.4 hours (FMCSA), which means the typical stop is fought over inside a window of roughly an hour. A fifteen minute rounding error is a meaningful share of that window. Detention appears on 39.3% of stops and costs the industry roughly $15 billion a year across 135 million hours; 94.5% of carriers bill for it and fewer than half collect (ATRI, 2024). The reason the collection rate is that bad is rarely that the detention did not happen. It is that neither side has a time they did not type themselves. Scene four
The photo does not go in the cell
The single most useful piece of evidence at a gate is a picture: the trailer number plate, the seal, the damage on the left rear corner. A spreadsheet has no place to put it. You can technically float an image over a sheet, which is not attached to the row, bloats the file, and is not something anyone is doing from a phone in the rain. So the photos live in the clerk's camera roll, sorted by nothing, and by the time a claim arrives nobody can match picture 4,182 to the row it belongs to.
That gap has a shelf life. Customs records must be kept and produced on demand for five years (19 CFR 163.4), and a cargo claim can be filed up to nine months after delivery (49 U.S.C. 14706). Camera rolls do not last nine months in a usable state.
The cost of typing it twice
Once the gate entry happens on paper and gets keyed in later, you have added a transcription step, and transcription has a measured error rate. In a 2019 JAMIA study, 3.7% of 6,930 hand transcriptions did not match their source. Applied to a yard, that is not an abstract quality metric. One wrong character in a trailer number produces a unit that exists in your sheet and not in your yard, or the reverse: a physical trailer nobody can find a row for. Both end the same way, with somebody walking the rows to look.
At 60 gate moves a day, 3.7% is a couple of wrong entries daily. That is an illustration of the rate, not a measurement of your yard, and your clerks may well beat it. The point is that the error rate of hand keying is not zero, and it is spent entirely on the numbers you most need to be right.

One more column the table cannot score: flexibility. A spreadsheet lets you add any field you want in seconds, with no vendor involved. Software does not. If your yard depends on a column nobody else in the industry uses, that is a genuine reason to stay where you are.
If you are on a spreadsheet today, start with a better spreadsheet
Most yard log sheets we see are missing the two things that make the sheet earn its keep. This one has them:
- Enter time in and time out, and dwell calculates itself, so nobody is doing clock arithmetic in their head at the end of a shift.
- Conditional formatting flags anything past two hours, which is the free time figure DOT OIG reports as typical, so an overdue trailer turns a color instead of hiding in row 214.
- Columns that match how a gate actually runs: carrier, trailer, seal, driver, slot, in, out, dwell, notes.

Five questions: stay, or move
This is not a score out of five. Every "no" is a place the spreadsheet has already stopped doing the job, and one of them may not be worth changing software over.
- Can one person hold the whole gate log? If two people ever need the same file in the same minute, you are already losing entries to whoever saved last.
- Are times typed within a minute or two of the actual event? If arrivals get reconstructed at the end of the shift, your detention evidence is a memory, not a record.
- Can you answer "what was in slot B-14 on March 3rd" in under a minute? If it takes opening three files to find out, it takes too long when a claim is on the phone.
- When a carrier disputes detention, does your row carry a photo and a timestamp nobody typed? If not, the dispute comes down to two people's word, and you are the one holding the invoice.
- Does the person at the gate have somewhere dry and steady to type? If the answer involves an umbrella, the spreadsheet is not really your gate log. The paper in their pocket is.
Five yeses means stay put and use the template above. One or two noes usually means fix that one thing: move to Google Sheets for co-editing, or move the person somewhere dry. Four or five noes means the record you think you have is being created somewhere the spreadsheet cannot see.
